Lost documents in Kenya: how to replace them
Start with a police abstract. Most replacements ask for one.
Your checklist. Tick things off as you go; it's saved on this phone only.
- 1. Report the loss first. Get a police abstract (lost ID, documents or an accident) Report the loss or accident at a police station, then fill in the police abstract form (download it from the Kenya Police website or get it at any police station) and have the station confirm and sign it. The abstract form is free.
- 2. National ID. Replace a lost national ID If your ID is lost or stolen, first report it at a police station and get a police abstract. Then go in person to a registration office or Huduma Centre to apply for a duplicate ID.
- 3. Driving licence. Replace a lost or damaged driving licence (duplicate DL) Apply for a duplicate licence on the NTSA service portal (log in with eCitizen): pick the duplicate driving licence service, give the reason, pay and submit. NTSA sends you an SMS, usually within 5 working days.
- 4. Passport. Renew or replace a Kenyan passport (expired, full, lost or damaged) Apply and pay on eCitizen, book an appointment, then take your ID and old passport to a passport centre for biometrics. For a lost passport you also need a police abstract; a lost or damaged passport costs KSh 20,050.
- 5. Passport lost while abroad. Get an emergency travel document after losing your passport abroad Report the loss to the local police, then contact the nearest Kenya embassy, high commission or consulate. They can issue an emergency travel document so you can come home, once you show proof that you are Kenyan.
- 6. Vehicle logbook. Replace a lost or damaged logbook (duplicate logbook) Apply for a duplicate logbook on the NTSA service portal: pick the reason, upload your police abstract, sworn affidavit and tape lift report in one PDF, and pay KSh 2,550. If you have an eLogbook, you can simply download a copy free from your account.
- 7. Birth certificate. Replace a lost or damaged birth certificate (get a new copy) Civil Registration keeps the original birth register, so a new certificate can be issued from your record. Go to a sub-county civil registration office or Huduma Centre with the date of birth, mother's name and place of birth so they can find the entry.
- 8. KCSE or KCPE certificate. Replace a lost or damaged KCSE/KCPE certificate (KNEC certification letter) For a lost or damaged certificate, KNEC issues an Examination Results Certification Letter. Apply online on QMIS (qmis.knec.ac.ke), pay KSh 5,220 by M-Pesa once KNEC verifies your documents, then collect the letter in person at KNEC.
- 9. Title deed. Replace a lost title deed Get a police abstract, have all registered owners swear a statutory declaration, then apply to the Land Registrar where the land is registered. After the loss is published in the Kenya Gazette and two national newspapers, the new title is issued once 60 days pass.
- 10. If you've forgotten your KRA PIN. Find a forgotten KRA PIN Log in to iTax with your ID number instead of your PIN, then reprint your PIN certificate to see it. Stuck? Call KRA on 0711 099 999 or email callcentre@kra.go.ke.
